Client-based Activity Log
The heart of the program is the client activity log where all entries are filtered by access
tags and viewable in chronological order. Below are practical examples of how the activity
log is used:
- While creating a clinical note a therapist can simultaneously view previous activity log entries including clinical notes, phone notes, emails, appointments, incident reports, academic notes, electronic documents, etc. Text from previous entries can be drug into the current note template.
- The front desk can quickly answer a parents question when they call to ask if a form has been sent or if new contact lenses have arrived for their child.
- An admissions director can see that the appropriate departments have reviewed application information and approved a student for admission.
- Quality control and risk management staff can review and comment on client records.
- Marketing staff can review communication with referring professionals.
- An admissions counselor can quickly review past entries to refresh their memory when a previous inquirer calls again.
Integrated Calendaring, Messaging, and Task Management
BestNotes has fully integrated calendaring, messaging, and task management. Below are practical
examples of how the integration is applied:
- A message sent by the front desk to the academic director and administrative assistant regarding a transcript request from a parent also appears in the activity log for the student. The entry can be updated and notification provided when the transcript is sent.
- A clinical director can quickly check schedule availability for all clinical staff and schedule a special or recurring meeting for all.
- A therapist can schedule an appointment with a student’s parents and open the appropriate clinical note template directly from the calendar. Both the appointment and the note are included in the activity log for the student.
- The admissions director can assign a task to an admissions counselor to follow-up with a potential client in two months. The task resides in the client screen and in the future task list for the admissions counselor.
